Executive Assistant

At Zipline, we design, manufacture, and operate autonomous delivery service at national scale. We develop our own hardware, write our own code, and stress test our product with thousands of flights. We manufacture all of our aircrafts and ground equipment. We hire and train elite local operators to run our distribution centers that deliver lifesaving medicine on a daily basis. We do all this ourselves to ensure that doctors can confidently rely on us to deliver what they need, when they need it, to save their patients.
Today we do all of this with just over 100 people at the company. We are growing rapidly to new geographical and product markets.
The Executive Assistant is a dual role with equal responsibilities to support our two co-founders: CEO (Keller Rinaudo) and Head of Engineering (Keenan Wyrobek). You will also be working closely with the Chief of Staff and leaders of the Engineering, Manufacturing, Global Operations, and Internal Operations teams. We believe this provides you with a holistic view of the company's top priorities and needs.
Your chief responsibility is to ensure that our leaders can ruthlessly prioritize and stay laser focused on where they will have the highest impact to achieve our mission. We are also excited for you to build strong relationships with Zipline partners (including senior government officials around the world and global health and logistics partners such as UPS, Gavi, Gates Foundation) and our dynamic group of team members.
We are looking for someone who independently achieve solutions to difficult challenges, biases towards action, shows incredible accuracy and agility, and commits to seeing every project through to its completion. You must thrive in chaos.
Communication should be one of your greatest strengths so you can confidently represent Zipline and our executives in your oral and written communication.
Role is based in Half Moon Bay HQ. Limited travel required.
Key activities:
Help our leaders ruthlessly prioritize their time to meet our strategic goals from strategizing efficient ways to use their time to handling complex calendars.
Organize and prepare for meetings with partners, customers, investors and other Zipline friends
Manage logistical and international mobility needs related to travel
Develop and continuously streamline support processes
Be persistent and creative getting our leaders audiences with global leaders and executives
Hire additional admin staff, when deemed necessary
Minimum:
4+ years of previous executive support experience in a fast paced, high tech environment
Proven to deeply understanding business and know how to prioritize time spent on the most impactful areas
Ability to work a varied schedule to meet the needs of a global team
Multi-task while maintaining high level of attention to detail
Extraordinary communication, teamwork and interpersonal skills
High level of discretion

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
